Welcome to Smart Links

Branded short links, click analytics, QR codes and landing pages — wired straight into your CRM contacts and automations. This guide walks you through everything, start to finish.

What is Smart Links?

Smart Links turns long, ugly URLs into short, branded links you can share anywhere — then tells you the whole story of every click: who tapped it, where they were, on what device, and where they came from.

It also builds styled QR codes, link-in-bio landing pages, and connects directly to your your CRM contacts and workflows. Because it's a marketplace app, it lives right inside your CRM account — no separate login.

Who it's for: agencies, marketers and business owners who send links over SMS, email, WhatsApp, social or print and want to know what's actually working.

Quick start

  1. Install Smart Links from the marketplace into your account.
  2. Open it from inside your CRM — the dashboard appears.
  3. Click Create new link, paste your destination URL, and save.
  4. Share your short link. Every click from now on is tracked automatically.
That's the whole loop — create, share, and watch the analytics roll in. Everything below is about getting more out of each step.

How it works

Three things to understand and you'll feel at home:

  • A link is your short URL plus all its settings — destination(s), rules, protection and tags.
  • A click is recorded every time someone opens your link, with their location, device and source.
  • Your account is your workspace inside your CRM — all your links, tags and analytics live here and are visible only to you.

When someone taps a link, Smart Links instantly works out the best destination (based on your rules), records the click, runs any CRM automation, and forwards the visitor — all in a fraction of a second.

Smart routing

One link can send different people to different places — decided automatically at the moment of the click. Rules are checked in order: country → device → A/B rotation → default. If nothing matches, visitors go to the link's default destination.

Country targeting (Pro)

Add rules that send visitors from specific countries to specific destinations — e.g. US visitors → your US store, UK visitors → your UK store. Country is detected from the visitor's location. This is checked first, before device rules and A/B rotation.

Device targeting (Pro)

Send visitors on a particular device or operating system to a different destination — e.g. iPhone/iOS users → the App Store, Android → Google Play, desktop → your website. Checked after country rules.

A/B rotation (Pro)

List two or more destinations, each with a weight, and Smart Links splits clicks between them in those proportions — perfect for testing which landing page converts best. Used only when no country or device rule matches the visitor.

Link protection

Add guard rails to any link. Visitors who hit a locked, expired or capped link see a clean, on-brand page explaining why.

Visitors must enter a password before the link redirects — they see an unlock page first. Good for gated content or private destinations. (Pro)

Expiry date

The link automatically stops working after a date and time you choose.

QR Studio

Generate styled, branded QR codes for any link — custom colors, shapes and your logo in the middle. Download as an image for flyers, packaging, business cards and events. Every scan is tracked just like a click.

Analytics — reading the reports

There are two analytics views. The Dashboard rolls up all your links; the per-link Analytics page (open it from the chart icon on any link) drills into one. Both update in real time and let you switch the time window (7d / 30d / 90d / All). All location data comes from a privacy-respecting, offline system — no third-party trackers.

Clicks over time & busiest hours

The line/area chart shows clicks per day across the selected window — spot launch spikes and momentum at a glance. The hour-of-day chart shows when your audience is most active, so you can time your sends. (Time buckets are in UTC.)

Geographic distribution (world map)

An interactive map shades each country by click volume, with a ranked list of top countries and top cities beneath. Great for spotting where a link is resonating — or leaking to unexpected regions.

Devices, operating systems & browsers

See the split between desktop / mobile / tablet, the operating systems (iOS, Android, Windows…), and the browsers your visitors use — handy for deciding device-targeting rules.

Traffic sources & referrers

Where each click came from — WhatsApp, Instagram, Facebook, Google, Email, direct, and more. Smart Links even detects in-app browsers, so a tap inside WhatsApp is attributed correctly rather than shown as "direct".

Destinations served

On a single link's page, this shows which URLs the link actually sent people to — useful when you're running geo, device or A/B rules and want to see how traffic was split across the variants.

CRM contact engagement

For links sent to CRM contacts, see how many clicks came from identified contacts, how many unique contacts engaged, and your top contacts by clicks — with their names resolved from your CRM. This is the bridge between anonymous click data and your CRM.

Bot filtering: link-preview crawlers (WhatsApp, Facebook, Google, etc.) are detected and excluded from every number above, so your real-engagement figures stay honest.

Campaigns

Group related links into a campaign (e.g. "Black Friday 2026") and see their combined performance in one place. You can also set campaign-wide tags that apply on every click across the campaign.

Landing pages (link-in-bio)

Build a simple hosted page with multiple links, text, images and social icons — ideal as the single "link in bio" for Instagram, TikTok and the like. Pick a template, customize it, and publish.

Tags

Organize links with colored tags (e.g. promo, client-a, q4) and filter your link list by them.

  1. On the Links page, click ⚙ Manage next to the tag filters.
  2. Add a tag, give it a color, or rename / delete existing ones.
  3. Renames and deletes apply across every link automatically.

CRM automation

This is where Smart Links gets powerful:

🏷️ Tag-on-click

When a known contact clicks a link, Smart Links adds the link's (and its campaign's) tags to them in your CRM — which can trigger your workflows ("contact clicked link X → start automation"). Add the tags when editing a link, then send the link to contacts with the contact id merged in (so Smart Links knows who clicked).

🔄 Contact sync

Each click can update the contact's record (last link clicked, total clicks, date) and drop a note on their timeline — so your team sees engagement right inside your CRM.

📥 Lead capture

Turn a link into a mini lead form. Before redirecting, the visitor enters their name / email / phone, and they're created or updated as a CRM contact automatically. You can customize the form's headline and fields.

To change plans, open the plan badge in the app header and follow the prompt into CRM billing. Your workspace updates automatically once it is confirmed.

The public pages your visitors see (password, expired, lead-capture) carry the same look, respect light & dark mode, and show your brand when branding or white-label is enabled.

FAQ

Do bot clicks (link previews) count in my analytics?

No. Previews from WhatsApp, Facebook, Google and similar are detected and kept out of your real-click counts, so your numbers stay honest.

Is visitor location tracked privately?

Yes. Location is detected from offline databases — visitors are never sent to a third-party tracker.

Can I change a link's destination after sharing it?

Yes. Edit the link any time; the short URL stays the same and points to the new destination.

What happens when I upgrade or downgrade?

Billing is handled in your CRM. Your features update automatically once it is confirmed the change — just refresh.

Who can see my links and analytics?

Only you. Everything is scoped to your account.
